Pricing, Payment, and Insurance

Sound Beginnings exclusively offers virtual care. If at any point during a virtual consultation we determined that more support is necessary - including scale rental, in-person evaluation, or referrals - we will create a care plan that takes into account a risk/benefit analysis of all available options. Virtual telehealth consultations are held via a HIPAA-compliant version of Zoom. For more information, please visit this blog post.

Payment

  • Sound Beginnings is in-network with Aetna insurance, and it’s partners and subsidiaries. We will submit claims for on your behalf for each stand alone lactation consultation. We routinely bill for parent and baby. Please let us know if you are not both covered by the same Aetna policy. Non-covered options: add-on messaging support; travel fee and scale rental available to Seattle area families.
  • For all other insurance carriers, out-of-network clients, and non-clinical support, payment is due at the time of booking.
  • Sound Beginnings accepts payment by all major credit cards. Many of our clients pay for consultations with a Health Saving Account (HSA) or Flexible Spending Account (FSA) credit card. If you have a HSA/FSA, lactation consultations should be considered a qualified medical expense. Sleep and other family consultations may be eligible depending on your program's limitations.
  • If you need to make other payment arrangements—including payment by cash or check—please connect to discuss options.

Sound Beginnings believes that every family should have access to lactation support regardless of their financial situation. Please inquire about payment plans, sliding scale, or scholarship options. We are also happy to provide a list of free and low-cost community resources.

Insurance

As of January 1, 2014, and the implementation of the Patient Protection and Affordable Care Act, most insurance policies are required to cover certain preventive health services and screenings without subscriber cost-sharing. These include breastfeeding support and supplies. (Exceptions to this include being on a “grandfathered in plan” or some Medicare/DSHS plans.)

As of February 2015, Sound Beginnings has IBCLCs who are “in-network” with Aetna. This means that if your Aetna health insurance plan covers lactation consultant services, you are likely entitled to at least six (6) consultations. Sound Beginnings has a professional insurance biller and we do our best to maximize your coverage. It's our practice to bill for parent and baby. Each plan has it's own policies and there may be a deductible/co-insurance/co-pay for each consultation, referred to as "patient responsibility." In the case of a patient responsibility, we will processed the card on file with us.

For all other insurance plans, Sound Beginnings IBCLCs are considered an “out-of-network” lactation consultant. “Out-of-network” providers are not typically fully covered by your health plan and you are often responsible for greater cost-sharing or even the entire cost of the visit. You can contact your insurance company to verify your benefit coverage and cost-sharing for an out-of-network lactation consultant. If your insurance company and policy are required to follow the ACA guidelines and they don’t have any lactation consultants in-network, they generally must cover services from an out-of-network provider without cost-sharing. This is sometimes referred to as “gap coverage.” Some insurance policies require a licensed provider, such as an RN-IBCLC. If that is the case, please let us know and we can direct you to schedule with an appropriate team member.

For out-of-network clients who book consultations that involve a review of health history (not mini sessions), Sound Beginnings provides a “superbill” or detailed receipt which you may submit to your insurance for possible reimbursement depending on your policy. Upon request this will be sent to you within one week of your consultation. You will then submit that based on the specific process of your insurance company.

Sound Beginnings cannot guarantee coverage, but we are happy to work with you to maximize your coverage/reimbursement within our billing parameters.

For more information, the National Women’s Law Center has a very helpful toolkit and a Sample Letter for Lactation Consultant Coverage that can be downloaded and used to support your efforts for coverage.

Cancellation Policy

When you book a consultation, the consultant blocks off time in her schedule in order to be available to you during that window of time, which means she cannot book another client consultation at that time. Appointments are in high demand, and your early cancellation will give another person the possibility to have access to timely care.

If you need to reschedule or cancel your appointment, you must give a minimum of 24 hours advance notice, via email (support@soundbeginningsfamily.com) or phone (206-973-0337), or the full cost of the consultation will be forfeited. For insurance bookings, the cancellation fee is $200 and will be billed to your credit card on file.

If you cancel less than 24 hours before an appointment for reasons beyond your control (sudden illness, family emergencies, etc.), Sound Beginnings will determine on a case-by-case basis whether to reschedule at no cost or offer a full or partial refund, at Sound Beginnings’ sole discretion. If a cancellation is due to circumstances beyond anyone’s control, such as massive power outage or severe weather that requires you or us to have to cancel or be closed during regular business hours, Sound Beginnings will reschedule your existing appointment at no charge. A refund will not be issues.

All refunds regardless of reason are subject to a 3.5% reduction as that is portion is not refunded by our credit card processing company.

Please reach out if you have any questions about pricing, payment, insurance, or anything else.

I will do my best to answer them and support you through the process of receiving care.
